JOB SUMMARY

The Accounts Payable Manager is responsible for coordinating payments to company vendors. This includes vouchering of Accounts Payable, coordinating weekly payment cycles, troubleshooting vendor issues, and managing the part-time AP staff. This position is based in the Fremont, California office.

DUTIES & RESPONSIBILITIES

  • Accounts Payable: Full-cycle AP, which includes 3-way vouchering, reconciling against receivers, and coordinating the weekly payment processing – all with meticulous attention to detail that ensure proper coding of vouchers to the GL.
  • Problem solve unusual vendor situations, taking the role of lead in resolving issues.
  • Work directly with the Supply Chain department on missing or mismatched receivers, becoming the key liaison between Accounting, Receiving, and Purchasing. This will require ongoing and regular communication with the Supply Chain team, especially the Director. The goal is to support their team by providing timely information required to resolve issues.
  • Maintain electronic accounting records to support transactions and audit requests.
  • Perform regular (some quarterly, some annually) customer statement audits for missed vouchers identification and resolution. Become an expert on the vendors, knowing when an invoice is missing and following up with vendors to find them.
  • Support month-end accruals identification, providing accruals to the Senior Accounting Manager to meet close deadlines.
  • Maintain W-9’s for vendors and coordinate the 1099/1096 annual filings.
  • Assist in used tax and sales tax filing, especially as it relates to inventory used internally.
  • Billing and Collections: Work with the Controller and Senior Accounting Manager to support customer billing and collections efforts. As time allows, process invoicing to customers in the ERP system.
  • Assist with providing accounting records and schedules for audit and other external inquiries.
  • Handle special projects and provide back-up support as needed for accounting team
  • Perform other related duties as required.

SUPERVISORY RESPONSIBILITIES

  • Oversee the daily workflow of the part-time Accounting Clerk, who primarily supports Account Payable functions.
  • Provide constructive and timely performance evaluation and feedback.
  • Recruit, interview, hire, and train new staff for the department when needed.
  • Handle discipline and termination of employees in accordance with company policy.

QUALIFICATIONS

Required:

  • Minimum of 7 years of experience in Accounts Payable positions, with 3+ years of that experience working with a manufacturing company.
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills, especially the ability to work effectively across departments.
  • Excellent computer skills, including Microsoft Word, Excel, and Outlook.
  • Systems experience with any ERP system that utilized three-way matching for AP processing.
  • Excellent analytical skills.
  • Detail oriented, with an emphasis on accuracy.
  • Ability to meet strict deadlines and work independently.
  • Attendance and Punctuality are essential functions of the position.

Preferred:

  • 2+ years of Management experience.
  • Understanding of U.S. GAAP rules.
  • Epicor experience.
  • MS Teams experience.
  • Bachelor's degree.

PHYSICAL DEMANDS & WORK ENVIRONMENT

  • Must be able to remain in a stationary position and operate office equipment for a prolonged period of time.
  • Physical activities include, but not limited to constant manual dexterity, moving about the work site, and/or handling objects weighing up to 20 lbs.
  • Other infrequent physical activities include, but not limited to, positioning self to complete assigned tasks, and ascending/descending floors and/or ladders.
  • Occasionally work around moving mechanical parts.
  • Must be able to work in a schedule that commensurate with business operation, including work during weekends, holidays and/or times outside of normal business hours.
  • Must be able to travel as business necessitates (up to 5%).
