Role Description

This is a full-time, on-site position for an Admin Assistant / Assistant Project Manager at Skilcon, Inc. The ideal candidate will support both administrative operations and project management tasks. This includes providing professional administrative support, handling phone inquiries, communicating effectively with clients and team members, preparing documentation, managing permits and submittals, and assisting Project Managers with day-to-day coordination.

You will play a key role in ensuring smooth office operations and successful project execution.

Key Responsibilities

  • Assist Project Managers with daily administrative and project coordination tasks
  • Process, prepare, and track permits, submittals, and project documentation
  • Provide professional phone support and handle incoming communications (emails, calls, messages)
  • Maintain organized digital and physical filing systems
  • Support onboarding activities (account access, documentation, introductions)
  • Prepare and distribute meeting agendas, minutes, and follow-up action items
  • Help track invoices, project budgets, and financial documentation under supervision
  • Maintain up-to-date project logs, change orders, risks, and issue trackers
  • Support general office administration as needed

Qualifications

  • Experience in administrative assistance, executive administrative support, or clerical work
  • Strong communication skills and professional phone etiquette
  • Excellent attention to detail and organizational ability
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to multitask and prioritize in a fast-paced environment
  • Construction, roofing, permitting, or contracting industry experience is a plus
  • High school diploma or equivalent (additional office management training is a bonus)
  • Bilingual preferred
  • Valid driver’s license required
  • Must be able to commute to our Pompano Beach / Fort Lauderdale office
  • Must be present for an in-office interview (no travel expenses provided)

Compensation & Benefits

  • Salary: $55,000 for entry-level / primarily administrative roles
  • Higher compensation available based on experience
  • Health insurance available

Work Hours & Schedule

  • Full-Time (40 hours/week)
  • Monday – Friday
  • 8:00 AM – 5:00 PM (1-hour lunch break)
