Job Title: Virtual Assistant & Appointment Setter (Chemistry Maven Tutoring Program)

About Us
Chemistry Maven is an online tutoring program helping high school students succeed in AP and Honors Chemistry through structured courses, personalized support, and progress tracking. We are looking for a highly organized and proactive Virtual Assistant & Appointment Setter to join our team. This role combines appointment setting, communications management, and admin support to ensure smooth daily operations.

Responsibilities

• Appointment Setting & Lead Management

  • Call, text, and email prospective families who opt-in to our programs.

  • Pre-qualify leads using a provided script and criteria.

  • Schedule student/parent consultation calls in my calendar.

• Communication Management

  • Monitor and respond to incoming texts, emails, and messages on my behalf with professionalism and warmth.

  • Draft, edit, and send emails (marketing and client-facing).

  • Triaging inbox: flagging urgent items, organizing communications, and ensuring timely follow-ups.

• Content & LMS Management

  • Upload and organize video lessons, worksheets, and other materials into Canvas LMS.

  • Maintain accuracy of course content and student access.

• Administrative Support

  • Maintain student records and progress trackers.

  • Assist with light research and organization tasks.

  • Handle recurring weekly tasks (reminders, updates, reports).

Requirements

• Excellent written and spoken English (clear, professional, friendly tone).

• Experience in appointment setting, customer service, or sales support.

• Strong organizational and time-management skills.

• Tech-savvy and able to quickly learn tools such as Google Workspace, Zoom, Canvas LMS, and CRMs.

• Proactive problem-solver with strong attention to detail.

• Resourceful. You step in where needed and do not require hand-holding or constant feedback.

• Ability to work independently and manage multiple priorities.

Preferred Qualifications

• Background in education, tutoring, or working with parents/students.

• Familiarity with email marketing platforms (e.g., Mailchimp, ConvertKit).

• Prior experience in a VA or EA role supporting entrepreneurs.

Hours & Compensation

• Part-time (10–20 hours/week) with potential to grow.

• Flexible hours, but must overlap with U.S. Pacific time zone for calls.

• Compensation: Competitive hourly rate or monthly retainer, based on experience.
