General Position Summary: The Associate Director of Donor Events and Experiences is an essential lead member of the Donor Events and Experiences team who, through strategic events and experiences, supports major fundraising, donor retention and engagement efforts that benefit the work of the University of Arizona. Reporting to the Director of Donor Events and Experiences, the Associate Director is responsible for leading the planning, execution, follow-up, and budget of high-impact events occurring both on and off campus for University of Arizona Philanthropy and Alumni Engagement (PAE). The Associate Director plays a role in collaborating with departmental staff, the UAF executive office, the UA President's office, and PAE staff. Additionally, this position will serve as a resource for the design and implementation of college and unit-initiated events, ensuring alignment with PAE objectives and standards. Supervisory Responsibility: This position is not supervisory in nature. Essential Functions/Major Responsibilities: Partners with the Director to establish and implement short-term and long-term goals and strategies for donor events and experiences in alignment with institutional objectives. Lead the strategic planning and execution of assigned PAE events, including conceptualizing event themes, programs, and formats. Manage logistics, budgets, vendor contracts, segmented invite lists, invitations, seating, and timelines while providing direction to support staff and volunteers. Provide mentorship and guidance to fellow team colleagues and volunteers, fostering collaboration and professional growth. Provide guidance and recommendations to departmental and campus colleagues on event-specific needs, program elements, and strategies to align with UAF initiatives and standards. Act as the primary on-site lead for assigned events, overseeing preparation, implementation, and post-event debriefs. Create comprehensive post-event reports, including attendance metrics, event summaries, and budget reconciliations. Collaborate with marketing and communications teams to develop high-quality event collateral and materials. Participate in preparation of departmental annual budget. Manages information from CRM and other sources to generate reports, lists and event constituent data. Travel to offsite events to assist in execution. Represent the PAE Donor Events and Experiences team on various internal workgroups and committees as assigned. Lead special projects and perform additional duties as assigned. Ability to recognize and handle highly confidential and sensitive information in a discrete and professional manner. Work with excellent organizational skills and attention to detail. Be able to work independently with the ability to prioritize multiple projects and meet strict deadlines for deliverables. Ability to anticipate and discern work priorities and meet deadlines with little supervision. Adept at problem-solving and using judgment in situations requiring initiative, tact, and confidentiality. An exceptional work ethic and track record of personal initiative required. Openness to new ideas and personal flexibility with the ability to adapt and succeed in a multi-task, fast-paced environment with changing processes and occasional ambiguity. Ability to inspire cooperation and participation. Proficiency in the use of personal computers and Microsoft Office software (Word, Excel, PowerPoint, and Outlook). Proficiency or ability to learn additional software required to perform the essential duties of the position. Minimum Qualifications: Bachelor's degree or equivalent professional experience in event planning and event management in a nonprofit, fundraising or higher education environment AND Minimum of three (3) years relations experience. Ability to drive/attend meetings throughout Arizona and travel by commercial airline outside of Arizona, as needed. Preferred Qualifications: Familiarity with the University of Arizona or similar institutional environments. Expertise in using constituent relationship management software. Expertise in one or more areas of event production, such as stage production, show calling, or AV/lighting. Work Environment: In and out-of-state travel will be required.
