Looking for a competent Construction Administrative Assistant to support high level officials in our Company. Candidate must have experience in construction administrative duties. Responsible for assisting Executive Secretary by performing a variety of administrative tasks. Must have great time-management and multitasking abilities. Must be efficient in ensuring that all assigned duties are carried on time and error free.

• · Receives, reviews for compliance, submit and tracks subcontractor certified payrolls and labor law compliance forms, (i.e. apprenticeships, unions)
• · Receive and screen phone calls and redirect them when necessary
• · Handle and prioritize all outgoing or incoming correspondence (e-mails, letters, packages, etc)
• · Make travel arrangements for executives and other members of the team.
• · Handle confidential documents end ensure they remain secure
• · Maintain electronic and paper records in an organized manned and readily accessible
• · Prepare presentations and reports as assigned
• · Prepare, input and distribute field payroll
• · Prepare certified payroll
• · Review, prepare and execute prelim and lien releases
• · Conduct Pre-qualifications for jobs
• · Handle performance and payment bonds
• · Process change orders
• · Close out document, warranties

 

Qualifications:

 

· Minimum 2-year experience in construction administration

· Ability to multi-task and prioritize

· Excellent written and verbal communications skills

· Proficient in MS Office and QuickBooks Enterprise Construction and Manufacture

· Outstanding communication and negotiation abilities

· Integrity and confidentiality

· Strong Organizational Skills

· Excellent organizational and time-management skills

· Familiarity with basic research methods and reporting techniques

· Strong attention to detail

· Must be able to work in an office in a fast paced environment

· Excellent customer service skills

· Deadline oriented

· Highly professional an dependable

· Must be a team player who can collaborate with other teams in the organization

A recent addition of a large TransCover was necessary to meet the demand in our structural steel fabrication
