About the Role:

We are seeking a highly organized and detail-oriented Construction Administrative Assistant to join our team. The ideal candidate will provide critical administrative support to our project managers, field crews, and office staff, ensuring the efficient and smooth operation of our construction projects. This role requires excellent communication skills, strong multitasking abilities, and a proactive approach to problem-solving within a fast-paced construction environment.

Key Responsibilities:

  • Answering phone calls, directing inquiries, and greeting vendors and subcontractors
  • Scheduling inspections, site visits, and internal/external meetings for project teams
  • Organizing and scheduling construction project meetings, including taking and distributing detailed meeting minutes
  • Assisting with job costing, invoice processing, purchase orders, and other bookkeeping tasks
  • Preparing and managing construction-related documents such as RFIs, submittals, change orders, and project reports
  • Creating and maintaining project filing systems (physical and digital), including permits and compliance documentation
  • Coordinating deliveries, material orders, and logistics between field and office teams
  • Assisting with bid packages, document tracking, and subcontractor communication
  • Supporting the preparation and execution of project close-out documents
  • Handling incoming and outgoing communications with clients, vendors, and subcontractors
  • Providing overall administrative support to project managers and construction leadership

Qualifications:

  • High school diploma or equivalent; coursework or certification in construction administration is a plus
  • Proven experience as an administrative assistant, preferably in a construction or field services environment
  • Proficiency in MS Office (Excel, Word, PowerPoint); familiarity with construction software (e.g., Procore, PlanGrid, Bluebeam, or similar) is a plus
  • Strong time management skills with the ability to prioritize multiple tasks under tight deadlines
  • Excellent organizational skills and attention to detail
  • Strong problem-solving skills and a proactive mindset
  • Excellent written and verbal communication skills

Pay Details: $20.00 to $22.00 per hour
