Title: Front Desk Coordinator

Location: New York, New York

Type: 12-month contract

Hours: 40 hours weekly

Hourly Pay Rate: $38-43/hour

A fintech company is seeking a Front Desk Coordinator for its New York City office to be the face of the company in NYC and ensure a seamless, positive in-office experience for all employees, guests, and vendors. As part of the Workplace Experience team, you'll be leaned on to create exceptional spaces, workplace experiences, and programs. Your day-to-day will consist of managing office and guest experiences, mail and supply operations, managing the internal ticketing system, and employee engagement and activities.

This is a full time (40 hours per week) one-year contract position with the potential to turn into a FTE with the company. If you have 2-5 years of employee experience and front desk management experience, we would love to hear from you!

Job Functions:

  • Represent the company culture by warmly greeting all guests, vendors, and employees, and assisting with nametag creation and guest passes to make a great first impression.
  • Maintain ownership of all lobby operations, ensuring the area is organized and running smoothly to provide a high-standard in-office experience.
  • Oversee all incoming/outgoing mail, including daily Envoy input, and conduct weekly inventories to coordinate, place, and restock all Workplace supplies within budget.
  • Manage various tickets, including inputting visitors into building systems, assigning Jira tickets to specific team members for office maintenance, and resolving temperature and DoorDash-related issues.
  • Assist with monthly happy hour events and snack drops, collecting team ideas, and staying within budget for all engagement activities.
  • Take full ownership of tracking lost and found items, communicating updates, and strictly adhering to established Standard Operating Procedures.
  • Assist with any office moves planning inclusive and not limited to badging, seat arrangements, furniture moves, and decommission.
  • Communicate with the WPE team and workplace employees through email, slack, and Jira.
  • Assist wherever needed to support the Workplace experience team.

Qualifications:

  • 2-5 years' experience in a similar position handling workplace experiences and engagement and/or managing a front desk with similar responsibilities.
  • Eager and capable, with a no job is too small attitude.
  • Comfortable with communicating with employees, visitors, and outside vendors in a professional and friendly manner.
  • Passionate about creating a fun and safe work environment.
  • Proactive, organized, and service-oriented.
  • Can manage multiple priorities at a time.
  • Experience with Google Suite, Slack, Jira, Brivo, Envoy, Asana, bill.com, Optisigns, and WeWork online portal all helpful.
