We are seeking a highly skilled and motivated Practice Manager to oversee the operations of the Lake Oswego location of our multi-location aesthetic practice, specializing in injectable treatments. As the Lake Oswego Practice Manager, you will be responsible for the administrative aspects of our practice, ensuring the delivery of exceptional patient care and the efficient functioning of our facilities. This role requires strong leadership, organizational abilities, and a deep understanding of the aesthetics industry.
Responsibilities:
Practice Operations:
- Oversee the day-to-day operations of the Lake Oswego location, in close partnership with the Clinical Lead, ensuring smooth and efficient functioning.
- Develop and implement standardized procedures, protocols, and policies to maintain consistent high-quality patient care across all locations.
- Monitor and analyze key performance indicators (KPIs) to assess practice performance, identify areas for improvement, and develop strategies to maximize revenue and profitability.
- Manage the budget and financial aspects of the practice, including revenue projections, expense control, and cost optimization.
- Provide regular updates to the Senior Director of Patient Experience on departmental performance, challenges, and improvement initiatives.
Team Leadership:
- Lead and oversee a team of skilled Injection Specialists and Aesthetic Consultants, providing guidance, mentorship, and support to ensure optimal performance and professional growth.
- Foster a positive and motivating work environment, encouraging open communication, teamwork, and a patient-centric approach.
- Recruit, hire, train, and evaluate personnel to maintain a highly skilled and motivated workforce.
- Monitor and analyze key performance metrics, using data-driven insights to enhance team productivity and overall performance.
- Conduct regular staff meetings, provide ongoing coaching and feedback, and promote professional development opportunities.
- Foster effective communication and teamwork among all employees, ensuring a cohesive and efficient workflow.
- Complete annual work performance reviews for administrative team members.
Patient Experience:
- Ensure the highest level of patient satisfaction by maintaining exceptional standards of patient service and care.
- Implement strategies to enhance the patient experience, including streamlining appointment scheduling, minimizing wait times, and improving communication channels.
- Resolve patient complaints or concerns promptly and professionally, striving for complete resolution and satisfaction.
- Collaborate with the management team to implement efficient operational processes, ensuring the smooth functioning of the practice.
Regulatory Compliance:
- Stay up-to-date with industry regulations, standards, and best practices, ensuring the practice's compliance with all legal and ethical requirements.
- Maintain accurate and complete patient records, adhering to privacy and confidentiality regulations.
- Implement and enforce infection control protocols and safety measures to ensure a safe environment for patients and staff.
Marketing and Business Development:
- Collaborate with the marketing team to develop and execute strategic marketing initiatives to attract new patients and retain existing ones.
- Identify opportunities for business growth, and provide input on business development strategies.
- Cultivate relationships with key stakeholders, including internal partners, industry partners, referring physicians, and community organizations, to enhance the practice’s reputation and referral network.
Requirements:
- Bachelor’s degree in business administration, healthcare management, or a related field is preferred.
- Minimum of 5 years of experience in a people-leadership role within the aesthetics or healthcare industry.
- Strong understanding of facial injectable treatments and the aesthetic market.
- Strong leadership and team management skills, with the ability to motivate and inspire others.
- A passion for delivering high-quality patient care and an understanding of patient needs and expectations.
- Proven track record in practice management, including financial management and staff leadership.
- Excellent organizational and problem-solving skills.
- Exceptional interpersonal and communication skills.
- Knowledge of regulatory compliance and healthcare industry standards.
- Ability to thrive in a fast-paced, dynamic environment.
