Position Overview We’re seeking a Transaction Coordinator who thrives in a fast-paced, high-energy environment. This role is the heartbeat of our operation — managing multiple real estate transactions simultaneously while maintaining impeccable accuracy and professionalism. The ideal candidate is task-oriented, organized, detail-driven, and calm under pressure . You’ll juggle competing priorities, adapt quickly, and keep every deal on track — no matter how busy things get. We’re looking for a motivated individual with an outgoing, bubbly, yet professional personality who takes initiative and enjoys being part of a dynamic team that celebrates excellence. What You’ll Do Manage and track all contract documents from execution to close, ensuring accuracy and compliance. Serve as the primary point of contact for agents, clients, lenders, inspectors, and title companies. Coordinate deadlines, inspections, appraisals, and key transaction milestones. Maintain and update records in Follow-Up Boss and other CRM systems. Prepare listing paperwork, disclosures, and marketing materials as needed. Support the team with administrative tasks and operational needs. Assist the company owners as a personal assistant, including running errands, coordinating schedules, and managing small personal or business-related tasks as needed. Handle occasional out-of-office tasks such as signage installation, document retrieval, or supply pickups. What We’re Looking For Experience: 1–2 years in real estate, administrative, or customer service roles preferred. Skills & Qualities: Highly task-oriented , organized , and detail-focused . Motivated , outgoing , and able to maintain a positive, professional demeanor in all situations. Works well under pressure and manages multiple priorities with ease. Quick learner who adapts to new systems and processes efficiently. Proficient with Google Workspace (Docs, Sheets, Drive) . Experience with Follow-Up Boss , Canva , Docusign , ZipForms , or Zillow Premier Agent a plus. Requirements: Valid driver’s license and vehicle required. Occasional weekend work (mostly remote). This position is in-office only — no remote flexibility.
