We're seeking a highly organized and detail-oriented Operations Project Coordinator Event Staff to play a critical role in the successful execution of the 2025 NASCAR Chicago Street Race. This is a seasonal, in-office position based in Chicago, running from March 1st to August 1st, 2025. As the Operations Project Coordinator Event Staff, you'll be a key player in ensuring the smooth operation of all site-related activities, working closely with the Operations Manager and Director of Operations. Your meticulous planning, organizational skills, and ability to manage complex projects will be vital in transforming this iconic location into a world-class racing venue. Responsibilities: Support the Director of Operations in overseeing all operational aspects within Grant Park, ensuring a safe and efficient environment for the event. Manage relationships with local vendors and contractors, leveraging your existing network to secure necessary resources and services, focusing on budget and schedule. Coordinate event logistics, including load-in/load-out schedules, equipment rentals, and site setup/teardown, creating detailed timelines and tracking progress. Maintain project budgets, meticulously tracking expenses and identifying cost-saving opportunities. Maintain detailed records, schedules, and documentation using Excel and Google Sheets, ensuring accuracy and accessibility for the team. Assist in delegating tasks to team members and ensure timely completion of projects. Proactively identify and escalate potential operational challenges, contributing to solution development. Maintain clear and professional communication with internal teams, vendors, and city officials, ensuring everyone is informed and aligned. Maintain a cool and collected demeanor under pressure, effectively assisting in managing any high-stakes situations that may occur. Qualifications: Must be local to Chicago. Proficiency in Excel and Google Sheets, with experience in creating and managing complex spreadsheets, budgets, and schedules. Strong communication, interpersonal, and collaboration skills. Exceptional time management and organizational abilities, with a proven track record of managing multiple priorities and deadlines. Ability to remain calm and professional in high-pressure situations. A proactive and solution-oriented approach to problem-solving. Prior experience in event operations or project coordination, preferably within motorsports or large-scale festivals. Experience supporting events within Grant Park preferred. Minimum 18 years of age. High school diploma or equivalence (GED). Reliable transportation to and from office and track locations.
